The EVV Associate supports the day-to-day operations of the Electronic Visit Verification (EVV) program across assigned markets. This position is responsible for monitoring EVV activity, researching and resolving routine visit exceptions, maintaining accurate documentation, and ensuring visits are prepared for prebilling in accordance with established processes and regulatory requirements.
The EVV Associate works closely with branch teams, caregivers, and the EVV Manager to resolve issues in a timely manner, maintain visit integrity, reduce manual EVV activity, and support the organization's overall EVV compliance goals.

Responsibilities

What You Will Do:

 

EVV Monitoring & Daily Operations
● Monitor EVV dashboards, call dashboards, timesheet queues, and prebilling work queues on a daily basis.
● Review assigned visits for missing, incomplete, or inconsistent EVV information.
● Identify visits requiring action and prioritize work based on payroll, billing, and compliance deadlines.
● Follow established EVV procedures and workflows consistently across assigned markets.
● Monitor daily workload and ensure assigned tasks are completed within established timelines.
● Escalate unresolved or complex issues to the Manager, EVV.


Exception Resolution & Visit Integrity
● Research and resolve routine EVV exceptions, including:
○ Missing clock-ins or clock-outs
○ Missed visits
○ Incomplete visit information
○ Incorrect or inconsistent visit data
○ Timesheet-required visits
○ Other EVV-related exceptions
● Review available documentation and system information to determine the appropriate resolution.
● Ensure required corrections and supporting documentation are completed accurately.
● Verify that visits meet established requirements before they move forward to prebilling.
● Identify recurring issues and communicate trends or concerns to the Manager, EVV.
● Escalate exceptions requiring management review, branch intervention, or policy interpretation.

 

Manual EVV & Documentation
● Process assigned manual EVV requests in accordance with company procedures.
● Collect, review, and validate required supporting documentation.
● Monitor outstanding documentation and follow up on incomplete items.
● Assist with DocuSign or similar electronic signature workflows.
● Maintain accurate records of completed and outstanding documentation.
● Work to reduce manual EVV volume by identifying opportunities to improve adherence to standard EVV processes.

 

Branch & Caregiver Support
● Communicate with branch teams regarding EVV exceptions and required corrections.
● Provide guidance to branch staff and caregivers regarding established EVV processes and procedures.
● Assist with follow-up on recurring caregiver EVV issues.
● Escalate patterns of non-compliance or repeated issues to the Manager, EVV.
● Support EVV training and education initiatives as assigned.
● Maintain professional and timely communication when requesting corrections or additional information.

 

Prebilling Support
● Review assigned visits prior to prebilling to ensure required EVV information is complete and accurate.
● Identify visits that may prevent successful billing or payroll processing.
● Resolve routine issues before established prebilling deadlines.
● Communicate outstanding items and potential risks to the Manager, EVV.
● Assist with maintaining accurate and timely prebilling queues.

 

Compliance & Audit Support
● Follow applicable EVV requirements, company policies, and established procedures.
● Maintain accurate documentation to support compliance and audit readiness.
● Assist with internal audits and EVV data reviews.
● Provide requested documentation and information for audits, MCO reviews, and internal compliance activities.
● Escalate potential compliance concerns to the Manager, EVV.


Reporting & Data Accuracy
● Maintain accurate records of assigned EVV activities and exception resolution.
● Track outstanding issues and follow-up items as required.
● Assist with EVV reporting and data collection.
● Identify trends, recurring errors, and opportunities for process improvement.
● Support the Manager, EVV with information needed to monitor compliance and operational performance.

Qualifications

Qualifications:

 

Education and Experience
● 1–3 years of experience in healthcare operations, home care, administrative support, customer service, or a related field preferred.
● Previous EVV, home care, healthcare operations, payroll, billing, or compliance experience preferred.
● High school diploma or equivalent required.
● Associate's or Bachelor's degree in Healthcare Administration, Business, Information Systems, or a related field preferred.
● Equivalent combination of education and relevant experience will be considered.
● Experience working with electronic systems and data-entry platforms preferred.
● Familiarity with EVV systems, HHAeXchange, Sandata, DocuSign, or similar platforms is a plus.
● Ability to work with high-volume, detail-oriented workflows.
